The five benefits of document digitisation

Digitisation has taken the world by storm these past couple of years. Firms have accelerated their efforts to digitise their operations. Scanbot has outlined the five biggest benefits firms can experience from digitising their documents.

The first boon of digitising documents is the direct availability of information. Scanbot explained that by digitising documents, a firm can instantly make information available to all employees. Instead of needing to have physical documents sent across departments or offices, a digital database can store everything. This becomes increasingly popular as hybrid working environments become more common.

It added that digitisation makes it easier for documents to be located. Furthermore, if the system leverages OCR text recognition, the database could even be searched for individual keywords.

The second benefit is business efficiency. Scanbot stated processes based on paper documents often have time-consuming roadblocks. It said, “The main problems are documents lost or delayed in the mail, misfiled or lost in storage, or damaged at any point. Thus, relying on paper-based workflows causes both increased workload and high costs. If companies remain bound up in paper-based processes, they miss out on valuable opportunities to sustainably optimize their business processes and future-proof them.”

Thirdly, it is better for storage. Instead of needing filing cabinets filled with thousands of files, organisations simply need to make digital folders.

The next advantage is an improvement to employee satisfaction. The RegTech company stated that streamlined processes make work easier and can cause less frustration among staff.

Finally, there is more data security. Physical files can easily be lost, damaged or find their ways into the wrong hands. Digital files are easier to keep tabs on and cybersecurity technology can safeguard files so only permitted people can access them.
