Mobile communication capture: exploring solutions in the BYOD era

In today’s digital landscape, the surge in mobile communication across business sectors has heightened the necessity for efficient mobile capture technologies.

According to ACA Group, these technologies ensure that business communications are monitored and archived, complying with regulatory standards. The industry has broadly adopted two principal strategies to manage this need: Governed Mobile Capture and Native Mobile Capture.

This method is particularly suitable for environments supporting a Bring Your Own Device (BYOD) policy. It involves assigning a secondary business number to an employee’s personal device. Users interact through a designated app to conduct business communications, thereby keeping personal and professional interactions distinct.

This separation helps maintain employee privacy and ensures that personal messages remain private. However, the reliance on employees to use the app for business communications introduces a risk. There’s a possibility that they may communicate outside the app, leading to untracked exchanges that could bypass compliance measures. To combat this, some firms are revisiting the use of corporate phones to ensure all communications are captured.

This technique connects directly to either personal or corporate devices, capturing all business-related communications automatically without the need for additional applications. As firms pivot towards normalcy post-pandemic, the appeal of native mobile capture has grown. It simplifies compliance by seamlessly integrating with the user’s existing phone, eliminating the need for secondary devices or numbers.

The pandemic significantly influenced mobile communication practices, with many businesses shifting away from corporate phones in favor of personal devices. However, this trend is reversing due to increased regulatory scrutiny, notably from bodies like the U.S. Securities and Exchange Commission (SEC), which has tightened regulations around off-channel communications.

According to the 2024 Investment Management Compliance Testing Survey, nearly 60% of firms now use corporate devices exclusively or in conjunction with BYOD policies to streamline compliance and mitigate risks.
